Furnished Mid-Term StaysFive Things to Settle

Managing a furnished mid-term stay means connecting arrival preparation, everyday support and the next handover. We recommend settling responsibilities and expenses before discussing how to find an occupant. Concrete preparation helps owners and managers decide what to do next.

Start with the proposed use, then discuss rent

We recommend starting with the intended use, proposed duration and restrictions that need checking, then discussing pricing. Even when a city appears in a management company’s service directory, that does not establish rental permission for an individual home.

For an initial discussion, assemble proposed arrival and departure dates, furnishing details, availability, pet arrangements and workspace information. Questions about permits, taxes, HOA rules or an existing lease should be checked with the relevant authority or party.

Make the inventory describe what occupants receive

In our view, “furnished” needs more detail. An inventory tied to the condition of the home can help prevent misunderstandings at handover: furniture and appliances, internet access, included everyday essentials, and responsibility for damage or replacement.

The listing should match that record. If a desk, connection or appliance is not ready, do not describe it as available. Using the same inventory at arrival and departure gives both handovers a consistent reference.

Define utilities beyond the word “included”

Separate rent from ongoing expenses. The agreement should identify included services, any allowances, responsibility for excess use, and who records the bills. Cleaning, repairs, replacement furnishings and utilities during a vacant interval each need a place in the budget.

When comparing rental options, we recommend considering these expenses alongside rent. Looking only at rent can overlook costs that continue between stays.

Confirm an extension before changing availability

Agree in advance on the extension request deadline, who decides, and how the result will be documented. When an occupant expresses interest in staying longer, confirm the decision and new term before changing future availability.

Without an agreed extension, prepare for the scheduled departure, inspection, cleaning and inventory check. An expression of interest is not a new signed term, and the next stay should not be assumed to begin immediately.

Ask about handover and records when comparing managers

Look beyond a fee percentage. Are placement and ongoing management charged separately? Does an extension or a new occupant create another charge? Who approves purchases, and who controls accounts and records?

Discuss how the arrangement ends as well: how will active leases, occupant correspondence, bills and keys be transferred? Those details determine whether management can continue smoothly after a listing goes live.

Turn the next conversation into a concrete checklist

  • Proposed use and duration: which conditions have been verified, and which remain open?
  • Arrival setup: do furniture, appliances, internet, pet rules and workspace match the listing?
  • Costs: who pays for utility overages, repairs, replacements, cleaning and vacant intervals?
  • Extensions: when is a request due, who confirms it, and when does the calendar change?
  • Handover: how are accounts, condition records, purchasing approvals and active leases transferred?

Complete this checklist first, then ask a manager to explain the work it can undertake. We recommend recording the agreed responsibilities in a written plan, with clear ownership of arrival preparation, expense records and the transition between stays.
